Job Title: Finance and Administrative Officer
Location: Nigeria
Employment Type: Full-time
Role: Intermediate level

Core Functions / Responsibilities

  • Preparation of budgets, monitoring all project and operational expenditure in line with the approved budget and work plan. Preparing weekly and monthly budget reports.
  • Monitor and manage the process flow for funds requisition, ensuring timely disbursement of approved funds and that there are supporting documents for all transactions in line with the organization’s financial policies, follow up on all requests; accurate recording and filing of all financial documents.
  • Perform monthly bank reconciliations, interface primarily with the bank on all project account matters, review accounting transactions to ensure compliance with relevant policies and procedures.
  • Report to and work closely with the LEAP’s finance manager in providing finance, admin and support during all phases of a project. Monitor and analyze all financial, administrative / procurement aspects of the project, review relevant documents and reports; identify problems and issues and notify the relevant persons with proposed solutions; work with relevant partners and track follow up actions.
  • Perform due diligence checks on all vendors, contractors and local partners in various locations, ensuring payment within established local banking procedures. Maintain accurate records of financial status of recruitments, sub-contracts and payments. This involves also monitoring their performance and advising the project manager.
  • Conduct inventory management of all shipments, procurement items and supplies, coordinate all travel activities in the programme -local and international
  • Ensure the overall coordination of finance and administrative issues, carry out actual to budgeted variance analysis on a weekly, monthly, quarterly and annual basis; Prepare and submit timely weekly, monthly, quarterly and annual financial reports.
  • Ensure proper documentation of all financial transactions both project and operations in line with best practices, ensure the correct posting and cost allocations for all transactions.
  • Work to ensure Compliance with all regulatory requirements within LIRS, FIRS, SCMUL. Compute and process tax payment and returns and LEAP’s financial policies.
  • Perform other tasks as assigned by your supervisor.

Requirements
The required candidate should possess the following:

  • Bachelor’s Degree in Finance, Accounting
  • 2 – 3 years experience in financial and administrative management and procurement in a private or social development organization.
  • Holds or studying towards a professional Accounting/Finance Qualification such as ICAN/ACCA is an added advantage.
  • Demonstrate proficiency in the use of MS Excel, Word, PowerPoint and MS project
  • Familiarity with Accounting softwares and working with ERP systems and applications.
  • Good in data analysis
  • Ability to multitask and work in a fast paced environment

Job Title: Communication and PR Manager

Location: Nigeria

Core Functions / Responsibilities
Public Relations and Marketing:

  • Design and implement strategic media and communication plans for the organization, LEAP’s programmes, ensuring successful deployment of media plans for new and existing programmes including press-related activities.
  • Cultivate mutually beneficial relationships with media firms, agencies and ensure maximum publicity for the LEAP Brand.
  • Effective reputation and crisis management.
  • Coordinate press activities.
  • Develop and implement marketing plans for the organization, its programmes, and activities.

Digital Marketing:

  • Coordinate the creation of multimedia productions for the organization including commercials, short documentaries, audio messages and videos in various formats.
  • Coordinate and supervise the creation of content and leads on social media to drive publicity for LEAP’s programmes and events (e.g. Twitter, Instagram, Facebook, LinkedIn, YouTube, blog etc), also monitor & report performance metrics on a quarterly basis.
  • Manage and oversee the digital fundraising activities of the organization.
  • Coordinate and manage websites- ensuring regular maintenance and up to date content that effectively project the LEAP brand. Manage and optimize SEO for the website and blogs.

Branding and Event Management:

  • Oversee and manage the activities relating to the production and distribution ofbranding materials for LEAP and all its programmes/events e.g banners, T-shirts, flyers etc.
  • Monitor and ensure adherence to brand ideals in all external and internal communications and events.
  • Manage the production of corporate materials used in stakeholder engagement.
  • Responsible for leading the department’s strategic and operational tasks.
  • Perform other organizational projects and tasks assigned by your supervisor.

Corporate Publications:

  • Manage internal and external communications of the organization ensuring that the message is consistent and engaging. Tailor messages to increase awareness and to maximise the potential of various channels.
  • Ensure the regular and timely production and distribution of LEAP’s biannual newsletter, annual reports and other corporate publications related to the organization or its various programme activities.

Partnerships & Stakeholder Management:

  • Report to and work closely with the Executive Director and the Board of Directors in the creation and implementation of the organization’s communications, public relations, media and branding strategy to strengthen LEAP’s reputation, visibility and influence.
  • Plan and implement engagement plans for funders and partners; identify different stakeholders and beneficiaries groups and determine the best way to communicate effectively with them.
  • Develop and maintain relationships with LEAP’s stakeholders, conduct annual stakeholder satisfaction surveys and reviews that feed into the programme and organizational improvements, as well as consult with programmes departments on stakeholder engagement and management.
  • Management of the organization’s databases.

Alumni Management:

  • Lead alumni engagement and work hand in hand with the LEAP Alumni executive committee in the management of the LEAP Africa Alumni Network ( LAAN)-ensuring that members are constantly and actively engaged.
  • Oversee all activities of the Alumni network ensuring that they are in line with LEAP’s mission and vision and they effectively project the LEAP brand.
  • Support the career goals of LAAN and continue to create exceptional value for the network.
  • Lead sustainability efforts of LAAN in partnership with LEAP Alumni executive committee and Advisory committee.
  • Website Maintenance and Content management

Requirements
The required Candidate should possess the following:

  • Bachelor’s Degree in a relevant field.
  • A postgraduate degree is an added advantage.
  • 5 – 7 years’ experience in Corporate Communications, Public relations including experience in fundraising and at least 2 years experience in managerial roles.
  • Experience in Partnership and stakeholder management.
  • Experience in the NGO sector is an added advantage but not compulsory.
  • International exposure and travel experience is an added advantage.
  • Critical thinking and an ability to understand and craft messages for diverse targeted audience groups.
  • Extremely proficient with MS office suite and desktop publishing software

About the Project

  • The Nigeria Youth Futures Funds (NYFF) Project is aimed at strengthening and enabling youth leadership and activism in Nigeria through outcomes-driven policy engagements and inclusive resourcing that help youth shape the future long-term development plans of the country.

Core Duties and Responsibilities
Grant Management:

  • Coordinate, in collaboration with the Project lead and other relevant stakeholders all activities relating to the preparation, management, research and review of all grants applications by programme beneficiaries.
  • Establish processes and procedures for the negotiation and award of contracts including grant pre-awards and post-awards actions to meet relevant requirements; Ensure compliance with appropriate federal, state, and local regulations.
  • Maintain accurate documentation and records of all proposals and funding activities; effectively manage a large database of beneficiaries; prepare special reports and analyses of the data gathered for this project.
  • Manage all grant related communication, enquiries, queries on the grant giving and reporting process.

Monitoring and Evaluation:

  • Conduct proper monitoring and evaluation for the implementation of grant contracts and awards, ensuring adherence to all terms and conditions of the grant contracts.
  • Create and provide monitoring and evaluation tools to sub grantees.
  • Collaborate with the finance unit to prepare relevant budgets for the programme and financial reports relating to grants administration.
  • Report to and work closely with the NYYF Programmes Lead and the LEAP MERL team in fulfilment of all your job tasks and deliverables.
  • Prepare thematic reports and share regular weekly and monthly reports with all relevant internal and external stakeholders.
  • Produce several research products such as articles, opinion pieces, evaluation reports and learning materials to be distributed across appropriate channels in different formats.

Job Title: Project Lead – Nigeria Youth Futures Funds Project

Core Duties and Responsibilities

  • Organize and ensure the successful implementation of the Nigeria Youth Futures Fund Programme; Plan, manage and deliver the Nigeria Youth Futures Funds (NYFF) project in accordance with the set timelines and requirements.
  • Coordinate the implementation of a bi – annual visioning retreats and state-level vision workshops for various cohorts of the programme towards facilitating and driving evidence based policy engagement. Plan, implement and facilitate capacity building and strengthening courses/workshops for Nigerian youth leaders and organizations; Lead the process of curriculum design and development for the capacity building and strengthening courses.
  • Coordinate thought leadership activities within the programme which includes but is not limited to the creation and dissemination of thematic reports by the working groups; Follow up to ensure the regular and timely update of the thematic reports.
  • Supervise and support the monitoring and evaluation processes for the programme.
  • Oversee all activities related to granting and sub granting for youth leaders and organization.
  • Supervise all activities relating to engagement and participation of programme beneficiaries and other stakeholders in the virtual/physical Community (ies) of Practice (VCoP).
  • Oversee all activities relating to digital media and online policy engagements through the NYFF online repository.
  • Coordinate the selection process for national and sub-national futures working groups members, vendors and other resource persons required for successful delivery of the programme.
  • Efficiently manage the programme budget and ensure the transparent and efficient use of funds.
  • Report to and work closely with the Executive Leadership and Advisory Board. Ensure the fulfilment of all your job tasks and deliverables. Prepare and share regular weekly and monthly reports with all relevant internal and external stakeholders.
  • Engage in other tasks that may emerge as a result of the growth of the organization and as assigned by your Supervisor.

Requirements
The required candidate should possess the following:

  • Minimum of a Master’s Degree in any field.
  • Minimum of 5 years robust experience and active engagement in youth leadership development, international development, public policy or associated fields at a management level.

  • Compile and submit the summary of evidence-based highlights/ success stories on the National Youth Future Funds (NYFF) project.
  • Oversee the creation of publications and related materials.
  • Document all conversations and debates accurately and neutrally. Ensuring these elements are fed back into strategies and work plans for effective youth engagement.
  • Manage the online portal, ensuring that it continues to exist to serve the purpose of continuous engagement and context respiratory for future use.
  • Oversee the Virtual Community of Practice and alumni engagements.

Job Title: Director of Programmes

Core Duties and Responsibilities
Leadership and Strategy:

  • Report to and work closely with the Executive Director and LEAP Board of Directors in developing and implementing organizational Programme strategy. Lead the programmatic direction of the organization working with the leadership team.
  • Support the leadership team in implementation and creation and monitoring of LEAP’s Strategy.
  • Support the leadership team in Organisational Capacity Development.
  • Oversee all programme activities in the organization in line with LEAP’s strategic pillars and focus areas to achieve the LEAP bottom lines (People, Impact, Influence and Income)
  • Provide strategic direction and oversee all units in the Programmes department (MERL, eLearning, Grants and Partnerships etc) including setting of annual goals and objectives.
  • Provide leadership, coaching and mentorship support to the team and ensure development of leadership capacity within teams.

Grants and Partnerships:

  • Directly responsible for the creation and implementation of the programmes-related fundraising strategy.
  • Cultivate and drive private, public and social sector partnerships that create opportunities for the growth of the organization in alignment with its vision.
  • Set and meet the fundraising and partnership annual goals.
  • Plan and operationalize robust relationship building and stakeholder management activities with partners and stakeholder; maintain relationships with decision makers at the executive and management levels.

Programme Management:

  • Oversee all programme design and delivery activities including programme and project conceptualization, curriculum development and updates, and the creation of development-focused products and services (digital/eLearning products and services) for LEAP’s target beneficiaries.
  • Drive continuous improvement within the Programmes department; periodic analysis of internal programme processes, policies, procedures and standards.
  • Oversee and ensure the successful implementation of LEAP annual conferences, flagship programmes and other high impact projects across Africa.
  • Oversee and provide support and supervision for all programmatic materials relevant for policy advocacy and other research activities .
  • Manage special strategic projects that will drive growth for the organization.
  • Champion thought leadership, advocacy policy design and development activities.
  • Oversee Knowledge Management process, system and practices.

Budget Management and Monitoring:

  • In liaison with the Finance department , undertake periodic budget monitoring and variance analysis with all program managers and coordinators in reviewing and tracking spending to adhere to the annual budget.
  • Support program managers to plan and undertake corrective management actions arising from budget monitoring reports.
  • Approve program related requests for imprest and reconciliation in line with organisation financial management procedures.

People Management:

  • Support the development and execution of the organization’s people strategy; Build and maintain its culture of Respect, Integrity, Synergy and Excellence (RISE).
  • Managing a geographically distributed team in the programmes unit to ensure seamless collaboration and culture alignment.

  • At least 7 – 8 years of relevant experience as a skilled professional in Programme design and delivery, fundraising and at least 3 years experience managing teams.
