Job Title: Correspondent Officer

Description

  • To assist FM&A (PHC/LAG/ABJ) in meeting IST, CMS and Compliance requirements and training obligations to provide and maintain IST tools & services for seamless daily operations, information reference system on the TCiN Referential, CMS & governance documents on the CMS website; mandatory eCOI declarations; and Compliance, Diversity and Cost Awareness trainings.

IST Rep:

  • Prepares annual forecasts and budgets for IST tools and services required by divisional personnel for divisional
  • Management approval.
  • Initiates divisional IST requests for tools and services for approval by IST Correspondent. Follows up and escalates issues for prompt resolution.
  • Consults with Business Analyst to resolve applicable divisional IST issues and requests for tools and services.
  • Consults with Business Analyst in justifying and presenting business cases for the development and deployment of apps, for divisional Management approval.
  • Creates and drives quarterly divisional awareness campaigns on available IST tools and services.
  • Prepares monthly, half yearly and annual divisional IST activity reports.
  • Participates actively in the month-long Cybersecurity trainings, quizzes, and other IST related activities of the Company.

IMO Support:

  • Reports functionally to Information Management Responsible (IMR) of the division.
  • Creates and drives quarterly divisional awareness campaigns on Information Management requirements.
  • Consults with Head, Information Management, IST Division, to create & maintain divisional Information Reference
  • System on Company’s Intranet.
  • Consults with DGM, HR Strategy and Organisational Performance/ Recruitment Officer, HR Division, to create and maintain divisional Record of Processing Activities (ROPA).
  • Prepares monthly, half yearly and annual divisional Information Management reports.

CMS Rep:

  • Collaborates with stakeholders to write new, re-evaluate existing, and regularly update divisional Charter, Standard
  • Operating Procedures (SOPs), procedures and processes, in line with Company Rules (CRs).
  • Maintains internal database of divisional CMS governance documents.
  • Consults with Manager, FM&A Methods, on updating divisional CMS documents published on Company’s CMS
  • website, and any other related issues.
  • Prepares monthly, half yearly and annual status reports on divisional governance documents.
  • Creates and drives quarterly divisional awareness campaigns on governance documents.

Deputy Compliance Officer:

  • Assists divisional Compliance Correspondent in ensuring all Compliance requirements and training obligations are met by divisional personnel.
  • Creates and drives quarterly divisional awareness campaigns on Compliance.
  • Completes annual mandatory electronic Conflict of Interest (eCOI) declaration on the Compliance website.
  • Works with the C&P Methods team for due diligence operations on company vendors and other relationships (social / contractual) as it affects the division.
  • Performs any other duties that may be assigned by hierarchy.
  • Position will manage related activities for 3 locations: ABJ/LOS/PHC.
  • High degree of interfacing and relationship management required to achieve results.
  • Need for constant updates and training to stay abreast of evolving job needs.
  • Complexity of managing compliance requirements with vendors.
  • Participate in all FM&A departments and divisional HSE meetings.
  • Ensure HSE aspects of operations is captured in procedures.
  • Familiarize self with Company’s emergency procedures, carry out assigned responsibilities safely and report any incident, unsafe act, or operation.
  • Role assists to ensure company is not exposed in her relationships by supporting the due diligence process.
  • Prompt handling of IST tools and equipment requests help to make requisite work items available and functional.
  • Efficient information management process keeps personnel updated hence reduces the challenges in misinformation.
  • Workflow efficiency is a product of relevant, updated and reliable procedures as well as their integration into the daily operations.

Job Requirements

  • Good HND or University Degree in any of the Social Sciences or Engineering disciplines.
  • 3-5 years post NYSC work experience.
  • Effective communication skills in English Language demonstrated in oral and written business communications.
  • People skills, Business presentation skillsets.
  • Working knowledge of: Windows 10 Professional or Enterprise operating system.
  • HSEQ principles and methodologies of the local or global oil and gas industry would be an advantage.
  • Microsoft Office 365 Apps (Word, Excel, PowerPoint, Outlook, Teams, OneDrive, and Stream). SharePoint,
  • Forms, Power Automate and Power Apps would be an advantage.

Job Title: Methods Coordination Officer (PHC)

  • Responsible for reporting template development and harmonization.
  • Defines report storage locations (soft/ physical) and liaises with Methods Officers for regular updates.
  • Responsible for reporting QA/QC.
  • Responsible for collation, editing, fact checking and presentation of the FM&A division reports.
  • Manage internal communications, WSS, Mass e-mail, intranet publications and shared reporting drives.
  • Collate KPIs from Helpdesk (86), PTS and other technical departments to prepare reports for the division.
  • Tracks and manages the processing of utility bills for technical departments.
  • Supervises the Transport Quality Control operations and provides harmonized reporting for the ABJ/LOS/PHC locations.
  • Provides support for the planning and updating, on PRIMAVERA, all ongoing major jobs within FM&A division through feedback from departmental reports and interface.
  • Supervises Document Control function for the divisional ISO processes.
  • Oversees the preparation for approval of level 4 departmental Standard Operating Procedures (SOPs), work procedures, processes and manuals, in line with Company Rules (CRs).
  • Supervises the administration of KIMOCE (reporting tool) to ensure high reliability of software for logging and interpreting intervention data.
  • Directly supervises daily operations of Helpdesk (86) operations; log, collate & publish weekly pending calls for close-out by intervention teams.
  • Responsible for ensuring a harmonized maintenance request process (hard copy or software based) for the division ad serves as admin manager for related software.
  • Audits the Service Level Agreements (SLAs) to ensure set delivery timelines reflect actual lead times and organize regular meetings across the district for sharing of return on experience.
  • Manages mass-mailing tool validation team composition and access rights for the division related information
  • dissemination.
  • Supervises the Responsible for relating with Government and relevant agencies as regards payments of Tenement Rates on company’s leased properties, Ground rents and other related services.
  • Administer FM&A Windows Share-Point Services (WSS) and other reporting documents storage management software. Responsible for creation of folders/ groups and assigning of access rights at divisional level.
  • Oversees the coordination of the balloting processes of FM&A PHC scrapped materials (household items, vehicles and other equipment) in line with approved procedure.
  • Responsible for weekly KPI, Monthly and yearly sectional reports.
  • Functions as divisional HSE Entity Representative.
  • Collates and analyses weekly KPIs, identifies areas for improvement and provides related reports.

Job Requirements

  • A University Degree.
  • 5 – 7 years post NYSC work experience in an industrial environment, preferably an IOC
  • Computer literate: Proficiency in Microsoft Windows professional and Microsoft Office tools/ Primavera. Mastery of other types of report preparation and editing software is an added advantage.
  • Fluent in English language and possess good communication as well as inter-personal skills.
  • Strong analytical and quantitative skills.
  • An experience in government relations management.

  • Update, modify and manages FM&A LOS Windows Share-Point Services (WSS) and other reporting documents storage management software. Responsible for creation of folders/ groups and assigning of access rights.
  • Coordinates the balloting processes of FM&A LOS scrapped materials (household items, vehicles and other equipment) in line with approved procedure.
  • Ensures planning and execution of quarterly departmental HSE Committee Meetings with LOS HSE, Facility
  • Managers (FMs) and Contractors.
  • Functions as departmental HSE Entity Representative and assists to ensure closure of SYNERGI cases.
  • Collates and analyses weekly KPIs, identifies areas for improvement and provides related reports.
  • Carries out periodic review of audit findings, with Technical Audits officer, to identify procedure gaps and initiate as well as follow through to completion, the development of associated work instructions.
  • Collates reports and KPI’s from FM&A Helpdesk, PTS and FM&A LOS departments to prepare, edit, update and publish weekly, monthly, half year/ full year reports.
  • Carries out any other duties/projects that may be assigned by the Hierarchy.
  • Thoroughness in the discharge of duties is important to eliminate complications.
  • Complexity of dealing with government and or related agencies and parastatals.
  • Ensure inclusion of all company HSE requirements in contracts and follow up with audits
  • Identify and prepare bridging documents to cover HSE contractual gaps with user departments
  • Ensure good understanding and adherence to company HSE objectives
  • Report anomalies yearly and attend HSE trainings
  • Collates and prepares consolidated departmental activity reports for FM&A LOS departments.
  • Assists to enforce adherence to validated procedures, processes and work manuals.
  • Performs the role of secretary and document controller for ISO audits.
  • Assists to enforce closure of outstanding SYNERGI recommendations.
  • Ensure the timely processing of Government Tenement Rates and Ground Rents and follow-up payment.

Requirements

  • A good HND or University Degree.
