Job Title: Internal Audit & Controls Manager

Location: Nigeria

Responsibilities

  • Ensure companywide compliance with established controls.
  • Execute audit assignments while supervising the IA Leads and Officers in the completion of required audit procedures through appropriate testing techniques, assessing compliance with established business control policies, processes, and procedures across the organization, identifying violations of the company’s operational procedures, and escalating identified weaknesses in controls and opportunities for improvement, to the CEO
  • Provide timely, reliable, fair, and balanced audit reports and another audit-related memorandum for review by the CEO. Recipients of these reports include executive management, Board Audit, and Finance committees, and the Board of Directors.
  • Demonstrate experience in implementing Internal Control over Financial Reporting
  • Provide specialized expertise to business operations and functional teams, to ensure business risks are managed appropriately and kept up to date with evolving business needs.
  • Work proactively with our External Auditors to determine areas where assistance and direct audit reliance can be provided by Internal Audit.
  • Maintain a professional audit staff with proficient knowledge, skills, experience and professional certification to meet the requirement of the audit function.
  • Manage functional communications and cross departmental audit projects when appropriate.
  • Manage the team’s completion of the audit plan, ensuring that audits/projects progress as planned with respect to scope, budget and timetable.
  • Oversee KPI compliance across different functions.
  • Ensure compliance with company SOPs and procedures, and maintain effective internal controls across the company’s distribution centres.
  • Design and drive effective internal control framework across the company’s distribution centre operations – draft necessary policies, procedures, and processes.
  • Drive Loss prevention activities across the company by defining proactive measures to prevent the losses (cash and inventory), ensure enforcement of detective controls, investigate and monitor the incidents, etc.
  • Analyse and evaluate organization-wide existing inventory management processes to recommend and implement improvements.
  • Ensure accuracy and maintenance of data related to inventory and provide periodic reports to the senior management on inventory related matters.
  • Ensure smooth stock transactions at DRYVA warehouses (receipt, storage, order processing and shipping), by implementing effective stock control measures.
  • Develop and implement best in class inventory count programs to ensure accurate reconciliation of stock and record accuracy. Manage and guide stock count teams across DCs.
  • Exhibit hands on experience in data analytics, automation and system design review and enhancement
  • Engage with and manage stakeholders internally across the company, and externally with clients.
  • Conduct periodic financial, compliance, operational and special audits and carry out investigations into reported irregularities, as required.

  • Review daily data entry into the ERP to ensure data integrity and inventory accuracy.
  • Lead the entire company internal audit’s annual planning process to develop the audit plan and ensure the plan is responsive to and aligned with the risk profile of the company and its key stakeholders – agents, company activities and other customers
  • Work with strategic third parties and agents as well as internal resources on investigations and communications to regulators as may be required from time to time while maintaining the strictest confidentiality
  • Examine documentation, perform substantive and compliance tests, as well as control self-audits; performs analytical reviews, and summarizes work performed, exceptions, findings and recommendations noted during an audit in an audit memo
  • Address specific training and development needs to fill compliance gaps.
  • Monitor and control Operational Budget and Capital Expenditure Budget (CAPER).
  • Review handling of disciplinary issues by HR
  • Ensure complete, accurate and timely audit information is reported to management and/or risk committees.
  • Prepare and present reports that reflect audit’s results and document process
  • Any other task as assigned by the CEO

Qualifications, Skills and Experience

  • First Degree in Accounting, Finance from an accredited university
  • Professional certification, e.g. CIA, ACA, ACCA, or other relevant higher business degree
  • Minimum of 7 years related experience
  • Master’s degree accounting & finance might be an added advantageExpert in applying internal audit standards, procedures and techniques in accordance with the International Standards for the Professional Practice of Internal Auditing.
  • Advanced computer skills, and familiarity with accounting software and databases
  • Good knowledge and usage of ERP/Sage

Job Title: Import and Export Manager

Location: Nigeria

Responsibilities

  • Manage overall imports and exports for the company.
  • Prepare and manage all shipment-related documents. Process import documentation and processing of permit such as SON, import permit, SON product certificate, SONCAP, NESREA permit, NAFDAC import permit, etc.
  • Oversee port and customs clearing processes efficiently and effectively.
  • Open Form M, NXP and manage insurance Premium process, shipping line reconciliation, on time delivery of shipment from port, liaising with clearing agents, shipping lines, customs and other relevant Government Agencies
  • Advise necessary changes to streamline export and import.
  • Liaise with suppliers / vendor to ensure submission of correct pro-forma invoice suitable for establishing form M and LC in line with Nigeria Customs Service import requirements / guidelines / regulations.
  • Follow up with vendors and freight forwarder for all shipments and a real-time update must be provided daily.
  • Real-time update of internal systems and database with all jobs (projects) progress.
  • Negotiate with carriers and freight forwarders to secure cost-effective transportation
  • Coordinate application for import duty exemption certificate (IDEC) and certificate of capital importation (CCI); especially importation of goods from China.
  • Classify goods to tariff coding system and calculate import duty and tax payable in advance.
  • Liaise with accredited agents for clearing of goods at destination ports, customs etc.
  • Timely order execution and documentation of pre and post shipping documents
  • Liaise with Port authorities & customs officials, monitor compliance to regulatory requirements, and maintain requisite papers & documents.

  • Ensure the pre-clearing process is completed before dispatching to operations.

  • Coordinate with Country Finance Manager for negotiation of banking terms and conditions on LC.
  • Process and examine required shipping documents as per rules and regulations in line with Central Bank of Nigeria (CBN) guidelines.
  • Source Forex from CBN/I&E Window.
  • Ensure draft copies of documents are in line with established approved Purchasing Order (PO).
  • Day to day coordination with finance department and banks to ensure no delays in processing Pre-Arrival Assessment Report (PAAR), Form M and LC.
  • Collection and submission of foreign exchange control documents (FECD).

Requirements & Qualifications

  • Minimum of a second Class upper in any course preferably Supply Chain or Finance from a reputable university (exceptional HND candidates will be considered)
  • Cognate 5 – 10 years experience in experience in import/export operations.

Inbound Freight:

  • Supervise the loading and offloading of goods into the warehouse by the warehouse loaders.

Job Title: Security & Safety Manager

Job Summary

  • The Security & Safety Manager is responsible for overseeing daily security management of all DRYVA premises (including project and operational) sites, ensuring a permanent monitoring and assessment of the security situation in country, as well as reviewing and implementing DRYVA security management guidelines and protocols.
  • This role is responsible for implementing a risk based security management system to drive the security strategy/architecture of DRYVA Logistics across the country.
  • He/she will also advise the Country Leadership and Senior Management Team on all issues of safety and security and provide appropriate security training and mentoring.

Job Responsibilities

  • Responsible for people, property and assets protection (this includes trucks and warehouses).
  • Design and implement robust rescue operations SOP, system, and security network.
  • Provide security and risk mitigation and ensure that shipments arrive at their destination safely and timely.
  • Identify and report potential security vulnerabilities of all transport operations
  • Conduct SSAVA (Site Security And Vulnerability Assessment) to ensuring security and safety across all warehouses and office.
  • Conduct SRVA (Spot Risk And Vulnerability Assessment) with a view to ensuring safety.

Job Title: Inventory Control Officer

Locations: Yola – Adamawa; Warri – Delta; Enugu & Kano

Responsibilities

  • Develop, implement and validate procedures, controls and systems that prevent, detect and correct errors in inventory transactions and balances
  • Design and generate appropriate reporting to track inventory accuracy, shrink compliance, and variance root cause trends

Job Title: Warehouse Manager

Locations: Ikeja – Lagos, Adamawa, Delta, Enugu and Kano
Employment Type: Full Time

Responsibilities

  • Work as project consultant with clients on warehouse operations optimization projects – deliver value as a strategic business partner to clients on warehousing design and operations
  • Maintain excellent flow of communication between the company and its clients, as well as the company and its warehousing partners
  • Coordinate the supply chain process and systems for all shipments moving in/out of the warehouse and ensure efficient receipt, storage, and dispatch of shipment to all relevant parties
  • Execute a logistics plan for inbound and outbound cargoes, and plan periodic capacity requirements for warehouse
  • To effectively manage storage of All RMPM supplies across warehousing network
  • To implement flexibility and agility in inventory storage, production line servicing to deal with exceptional situations – natural disaster, external disruption, theft and pilferage, stock contamination, fluctuating inventory in RMPM inflow and outflow.
  • Projection of space requirement both short term and long term.
  • To ensure zero damage and obsolescence of RMPM stock by ensuring FIFO / FEFO, proper handling and timely communication to concerned stakeholders
  • Manage the warehouse operating system for effective stock control and record management, and maintain accurate inventory of all shipments
  • Maintain accurate documentation of shipments and transit records, and ensure operational procedures are followed for activities such as verification of incoming and outgoing shipments.
  • Lead repackaging of damaged products, and repacking initiatives for brand promotions.
  • Implement safety procedures and standards in warehouse operations.
  • Implement proactive controls to mitigate stock risk / shrinkage, capturing errors, and document incompletion.
  • Implement proactive controls for staff training and development, process speed, overall system integrity, safe, efficient and effective segregation of duties.
  • Ensure that health and safety policies and procedures are implemented.
  • Ensure that all goods that are dispatched from the warehouse correctly packed and damage free.
  • Interface and liaise with all regulatory bodies, and ensure compliance with all Legal and Statutory regulatory agencies including Nigerian Customs for the clearance of all shipments.
  • Assist in the automation and integration of the warehouse management system into the company’s overall financial management system.
  • Maintain records of Carriers, importers, and other relevant stakeholders
  • Oversee the maintenance and operation of warehouse management systems and automated storage and retrieval systems.
  • Develop strategies to streamline processes and reduce costs.
  • To draw up and implement the RM PM warehouse management strategy.
  • Implementation of Best-in-Class warehousing standards & practices for each product class
  • To implement effective controls and processes in warehouse inventory management
  • Implementation of storage types to ensure effective balance between maximum space utilization, storage cost and FIFO/FEFO compliance

Job Responsibilities
Inbound Freight:

  • Supervise the loading and offloading of goods into the warehouse by the warehouse loaders.
  • Count all products, compare to waybill and check all shipments for damage, infestation and production code dates
  • Report shortages, damages and mis-shipments on appropriate forms, and communicate any discrepancies observed during receipt or release of goods to the Warehouse Manager.
  • Record daily transactions in warehouse register.
  • File warehouse documents online and in physical folders as may be required.
  • Sign for inbound shipments when / where necessary
  • Receive and Photocopy Waybills.
  • Witness Seal Cutting.
  • Truck arrival, loading and dispatch time tracking.
  • Conduct truck inspection before loading.
  • Confront all unsafe behaviour.
  • Confront all quantity deviations and track accordingly.

Storage:

  • Maximize space usage and safely put away items on the floor or racks
  • Ensure receiving and loading areas are top notch always.
  • Maintain housekeeping standard at the loading docks and storage areas.
  • Conduct daily warehouse tour.

Order Picking & Outbound Freight:

  • Ensure correct number and type of product is picked
  • Stencil, tag or mark orders as required
  • Compare quantity, labelling and address with order to ensure outgoing shipments are complete and correct
  • Accept signatures for outbound as necessary
  • Efficiently move product into outbound delivery vehicles

Inventory Management:

  • Keep accurate records and reports.
  • Ensure proper stock rotation
  • Support periodic cycle count as per the standard operating procedure.
  • Update stock cards for goods in the warehouse.
  • Participate actively in any Inventory variation troubleshooting.
